This Privacy Policy explains how Structivo Pty Ltd collects, uses, stores, discloses and protects personal information when you use Structivo, including our website, web app, mobile-accessible app, software, support services and related features.

Structivo provides construction workforce management software, including company accounts, worker onboarding, job sites, rosters, GPS/geofenced clock-in and clock-out, attendance records, timesheets, correction requests, estimated pay summaries, payroll support exports, worker documents, push notifications and related tools.

Structivo is not payroll software. Structivo does not process payroll, move money, calculate tax, calculate superannuation, determine awards, determine allowances, determine penalty rates, determine legal entitlements or issue official payslips.

By using Structivo, creating an account, joining a company account, inviting workers, enabling notifications, clocking in or out, submitting information, or continuing to use Structivo, you acknowledge this Privacy Policy.

This Privacy Policy should be read together with our Terms of Service.

1. Who we are

Structivo is operated by Structivo Pty Ltd, ACN 700 109 584, ABN 21 700 109 584, located in Victoria, Australia.

In this policy:

“Structivo”, “we”, “us”, or “our” means Structivo Pty Ltd.

“Customer” means the business, company, sole trader, employer, contractor or organisation that creates or manages a company account in Structivo.

“Admin” means a person who manages a Customer account, including workers, job sites, rosters, timesheets, pay settings, documents, billing or company settings.

“Worker” means a person invited, added or approved by a Customer to use Structivo for work-related purposes.

“User” means any person who uses Structivo, including Admins and Workers.

“Customer Data” means information, records, files, documents, location data, timesheets, pay-related inputs, job site details, worker details, company details and other data submitted to, stored in or generated through Structivo by or for a Customer.

“Personal information” means information or an opinion about an identified individual, or an individual who is reasonably identifiable.

For much of the worker information stored in Structivo, the Customer decides why the information is collected and how it is used. Structivo provides the software platform used to collect, store and process that information for the Customer.

Structivo also handles some information for our own business purposes, such as account administration, billing, security, support, service improvement and legal compliance.

2. What personal information we collect

The personal information we collect depends on who you are, how your account is set up, which features are used, and what information is entered into Structivo.

2.1 Account and identity information

For Admins, we may collect:

• name;
• email address;
• phone number;
• login and authentication details;
• company name;
• company role;
• ABN or business details, if provided;
• billing account details;
• account status;
• selected plan and subscription information.

For Workers, we may collect:

• name;
• email address;
• phone number;
• login and authentication details;
• worker profile details;
• company connection status;
• role, position or job title, if entered;
• start date, if entered;
• emergency contact details, if entered;
• address, date of birth or similar employment-related information, if entered by the Worker or Customer.

2.2 Company and job site information

We may collect:

• company name;
• company address or location;
• ABN or business information;
• job site names;
• job site addresses;
• job site GPS coordinates;
• geofence radius or site boundary settings;
• site status, such as active, completed or archived;
• site assignments and worker allocations.

2.3 Roster, attendance and timesheet information

We may collect and process:

• rostered shifts;
• scheduled start and finish times;
• assigned job sites;
• clock-in and clock-out times;
• break records, if used;
• open shift records;
• missed shift or no-show information;
• timesheet status;
• approval, rejection and correction history;
• admin notes or rejection reasons;
• paid or unpaid status;
• audit-style records of changes or corrections.

2.4 GPS and location information

Structivo may collect location information when location-based attendance features are used.

This may include:

• GPS coordinates at clock-in;
• GPS coordinates at clock-out;
• location accuracy;
• distance from the assigned job site;
• job site coordinates;
• whether a Worker was inside or outside a geofence;
• location-related error information, such as unavailable permission or poor accuracy.

Structivo’s intended location use is for work attendance features, such as GPS clock-in, GPS clock-out, site verification and attendance records.

Structivo is not designed for secret tracking or continuous personal surveillance. Unless a feature clearly says otherwise, Structivo is designed to collect Worker location for clock-in, clock-out and related attendance actions, not to continuously track Workers in the background all day.

Customers are responsible for telling Workers when and how location features are used, why location information is collected, how it will be used, and what workplace notices, policies or consents are required.

2.5 Pay-related and payroll support information

Structivo may collect and process pay-related information entered by a Customer or Worker, including:

• hourly rates;
• daily rates;
• overtime rates or overtime settings;
• employment type;
• rate type;
• approved hours;
• recorded hours;
• timesheet totals;
• estimated pay totals;
• pay summary information;
• paid or unpaid status;
• payroll support export information;
• pay-related notes;
• pay-related settings configured by the Customer.

Structivo uses this information to help Customers calculate estimated pay summaries from approved timesheets and company-configured rates.

Structivo is not payroll software and does not process official payroll, move money, calculate tax, calculate superannuation, determine awards, determine allowances, determine penalty rates, determine legal entitlements or issue official payslips.

Customers remain responsible for checking all pay-related information and using their own payroll system, accountant, bookkeeper or payroll provider to process official payroll.

2.6 Documents and uploaded files

Structivo may allow Customers or Users to upload documents and files, such as:

• worker documents;
• licences;
• certificates;
• employment-related documents;
• site documents;
• images;
• other files uploaded into the app.

These files may contain personal information depending on what is uploaded.

Customers and Users must only upload information they are authorised to upload.

2.7 Notifications and device information

If notifications are enabled, we may collect and process:

• push notification subscription tokens;
• device/browser notification permission status;
• notification delivery records;
• notification preferences;
• browser and device information needed to send notifications.

Push notifications may be used for operational messages such as shift reminders, roster updates, clock-in reminders, approval updates, correction updates, admin alerts and account-related notifications.

2.8 Billing and payment information

If you subscribe to a paid plan, we may collect:

• billing contact details;
• subscription plan;
• billing status;
• Stripe customer ID or billing reference;
• subscription ID;
• invoice or payment status;
• plan limits and usage information.

We do not intentionally store full payment card numbers. Card payments are handled by our payment provider, such as Stripe.

2.9 Technical, security and usage information

We may collect:

• IP address;
• browser type;
• device type;
• operating system;
• app usage events;
• error logs;
• security logs;
• authentication/session records;
• audit logs;
• support messages;
• crash or diagnostic information;
• date and time of access;
• pages or features used.

We use this information to operate, secure, debug and improve Structivo.

2.10 Support and communication information

When you contact us, we may collect:

• your name;
• email address;
• phone number;
• company details;
• support request details;
• screenshots or files you provide;
• messages, feedback or complaints;
• records of our communication with you.

3. How we collect personal information

We collect personal information in different ways, including:

• directly from you when you create an account;
• directly from you when you use Structivo;
• from a Customer or Admin who adds or invites you;
• from Workers who clock in, clock out, submit forms, upload files or update their profile;
• from device permissions, such as location or notification permissions;
• from payment providers;
• from authentication and hosting providers;
• from browser, device and security logs;
• from support communications;
• from automated app processes that generate attendance, timesheet, notification, pay summary or audit records.

Where practical, we collect personal information directly from the individual. However, in a workforce management app, some Worker information may be provided by the Customer or Admin because the Customer manages the work relationship.

4. Why we collect, use and process personal information

We collect, use and process personal information to:

• create and manage user accounts;
• create and manage company accounts;
• verify login and account access;
• verify email addresses or OTP codes;
• manage worker onboarding;
• manage job sites;
• manage rosters and shifts;
• record clock-in and clock-out events;
• verify attendance using GPS/geofencing;
• create and manage timesheets;
• manage timesheet approvals, rejections and corrections;
• calculate estimated pay summaries from approved timesheets and company-configured rates;
• generate payroll support exports for Customer review;
• allow Workers to view their own shifts, attendance, timesheets and estimated pay information;
• allow Admins to manage their workforce;
• send operational notifications;
• provide billing and subscription services;
• manage plan limits and entitlements;
• provide customer support;
• investigate bugs, disputes, misuse or security issues;
• prevent fraud and unauthorised access;
• maintain audit logs and business records;
• improve Structivo;
• comply with legal, tax, accounting, workplace, privacy, record-keeping or security obligations;
• enforce our Terms of Service;
• protect our rights, users, Customers and service.

We do not sell personal information to advertisers.

5. Customer responsibility

Structivo is a software provider. Customers use Structivo to manage their own workforce.

Customers are responsible for making sure they have the required authority, notices, consents, policies and lawful basis to:

• add Workers to Structivo;
• provide Worker information to Structivo;
• use GPS/geofencing features;
• collect attendance records;
• use timesheet features;
• use estimated pay summary and payroll support features;
• upload worker documents;
• send work-related notifications;
• use Structivo in their workplace.

Customers are also responsible for complying with workplace, privacy, surveillance, payroll, employment, tax, industrial relations, safety and record-keeping laws that apply to them.

Structivo may provide tools, notices or templates to assist Customers, but those tools do not replace the Customer’s legal obligations.

6. Location and GPS notice

Structivo’s GPS/geofencing features are intended to help Customers verify work attendance at job sites.

When a Worker clocks in or out, Structivo may collect the Worker’s device location and compare it with the assigned job site.

Location information may be visible to authorised Admins of the Customer account.

Location information may be used for:

• confirming whether a Worker clocked in or out near the assigned site;
• reviewing attendance;
• investigating timesheet issues;
• handling correction requests;
• resolving disputes about attendance;
• maintaining business records;
• supporting timesheet approval workflows;
• supporting estimated pay summary calculations based on approved hours and configured rates.

Structivo must not be used for hidden surveillance, stalking, harassment, unlawful monitoring or tracking Workers outside a lawful work-related purpose.

Workers should not use location features while driving or where doing so would be unsafe.

If you are a Worker and you have questions about why your employer is using location features, you should contact your employer or company Admin first. You may also contact Structivo about how the platform handles location information.

7. What information is visible to Admins and Workers

7.1 Admin visibility

Authorised Admins of a company account may be able to see information relating to Workers in that company account, including:

• Worker names and contact details;
• profile details;
• job site assignments;
• rosters;
• clock-in and clock-out records;
• location-at-clock-event information;
• timesheets;
• correction requests;
• pay-related settings;
• estimated pay summaries;
• pay summary exports;
• documents uploaded for that Worker;
• attendance and payment status.

This visibility is a core part of Structivo’s workforce management service.

7.2 Worker visibility

Workers may be able to see their own:

• profile;
• company status;
• shifts;
• assigned job sites;
• clock-in and clock-out records;
• timesheets;
• correction requests;
• estimated pay information made available to them;
• notifications;
• documents or information relevant to their account.

Workers should not be able to see other Workers’ private personal information unless a feature clearly allows limited team visibility for legitimate work purposes.

8. Who we disclose personal information to

We may disclose personal information to:

• the Customer or company account that a Worker belongs to;
• authorised Admins of that Customer;
• service providers who help us operate Structivo;
• payment processors;
• hosting and database providers;
• authentication providers;
• email providers;
• push notification services;
• mapping and geocoding providers;
• analytics, logging, monitoring and security providers;
• professional advisers, such as lawyers, accountants or insurers;
• government authorities, regulators, courts or law enforcement where required or permitted by law;
• another party involved in a business sale, restructure, merger, acquisition or transfer, subject to appropriate confidentiality protections.

We only disclose information where reasonably necessary for the purposes described in this policy, where authorised by the Customer or User, or where required or permitted by law.

9. Service providers we use

Structivo may use third-party service providers to operate and improve the service.

These may include:

• Supabase for database, authentication, backend functions and storage;
• Stripe for payments, billing and subscription processing;
• Google Maps Platform for maps, geocoding, address lookup and job site location features;
• web push notification services for push notification delivery;
• email service providers for account, invite, verification, support and notification emails;
• hosting, logging, analytics and security providers for operating and protecting the service.

These providers may process personal information on our behalf.

Third-party services may have their own privacy policies and terms.

10. Overseas disclosure and storage

Some of our service providers may store or process information outside Australia.

This may include countries where our hosting, database, payment, email, notification, mapping, analytics, logging, monitoring or support providers operate.

Where personal information is disclosed overseas, we take reasonable steps to use reputable providers and appropriate safeguards.

If practical, we will identify key overseas processing locations in this policy or in supporting documentation.

11. Security

We take reasonable steps to protect personal information from misuse, interference, loss, unauthorised access, modification and disclosure.

Security measures may include:

• authentication controls;
• email or OTP verification;
• role-based access controls;
• company-level data separation;
• row-level security;
• restricted Admin/Worker permissions;
• database security controls;
• encrypted connections where supported;
• audit logs;
• monitoring and error logging;
• access restrictions for sensitive systems;
• secure payment handling through third-party payment providers;
• backup and recovery processes.

No system is completely secure. Users and Customers are responsible for keeping login details safe, managing Admin access carefully, removing users who should no longer have access, and contacting us quickly if they suspect unauthorised access.

If the Notifiable Data Breaches scheme applies to Structivo, we will assess eligible data breaches and notify affected individuals and the OAIC where required by law.

12. Data retention

We keep personal information for as long as reasonably needed to provide Structivo, operate our business, comply with legal obligations, resolve disputes, prevent fraud, maintain security, enforce our Terms of Service and support Customers.

Different types of information may be kept for different periods.

For example:

• account information may be kept while the account is active;
• billing records may be kept for tax and accounting purposes;
• attendance, timesheet and pay summary records may be kept while needed by the Customer or required for workplace record-keeping;
• security logs may be kept for security, fraud prevention and investigation purposes;
• support records may be kept to resolve issues and maintain business records;
• backup copies may remain for a limited period after deletion from active systems.

Customers are responsible for exporting and keeping copies of records they are legally required to retain.

Where appropriate and lawful, we may delete, de-identify or archive information that is no longer needed.

Deletion requests may be limited where information must be retained for legal, tax, accounting, employment, workplace, dispute, security or legitimate business reasons.

13. Accessing and correcting personal information

You may contact us to request access to personal information we hold about you or to ask us to correct information that is inaccurate, out of date, incomplete, irrelevant or misleading.

If you are a Worker, some of your information may be controlled by the Customer or employer that added you to Structivo. For example, employment records, attendance records, timesheets, pay settings, estimated pay summaries and job site assignments may be managed by your employer.

Where appropriate, we may direct your request to the Customer or work with the Customer to respond.

We may need to verify your identity before responding to an access or correction request.

14. Deleting information

You may request deletion of personal information by contacting us.

However, deletion may not always be possible immediately. For example, we may need to keep certain information:

• to provide the service to a Customer;
• to comply with legal obligations;
• for tax, accounting or billing records;
• for employment or workplace record purposes;
• to resolve disputes;
• to prevent fraud or misuse;
• for security investigations;
• to enforce our Terms of Service;
• where the Customer is legally required to keep the information.

If you are a Worker and request deletion of work-related records, we may need to involve the Customer or employer because those records may belong to, or be controlled by, the Customer.

15. Employee records and employer obligations

Some Customers may be private sector employers. Australian privacy law includes an employee records exemption in certain circumstances for a private sector employer’s handling of employee records relating to current or former employment relationships.

Structivo is a software provider, not the employer of Workers using Customer accounts.

Customers remain responsible for their own employment, workplace, privacy, surveillance, payroll, tax, safety and record-keeping obligations.

Structivo may still handle personal information for its own purposes, including account management, support, security, billing, service improvement and legal compliance.

16. Marketing communications

We may send service-related communications, including:

• account messages;
• security alerts;
• login or OTP messages;
• billing notices;
• subscription updates;
• shift notifications;
• roster updates;
• clock-in or clock-out notifications;
• correction request updates;
• support messages;
• important legal or policy notices.

These messages are part of using Structivo and may not always include an unsubscribe option.

We may also send marketing or promotional communications where permitted by law. Where required, marketing messages will include a way to unsubscribe.

We will not sell your personal information to advertisers.

17. Cookies and similar technologies

Structivo may use cookies, local storage or similar technologies to:

• keep users signed in;
• maintain session security;
• remember preferences;
• improve app performance;
• understand usage;
• detect bugs;
• protect against fraud or misuse.

You may be able to control cookies through your browser settings, but disabling cookies or storage may affect how Structivo works.

18. Children and young workers

Structivo is designed for workforce management and is not directed at children.

Some Workers, such as apprentices or trainees, may be under 18. Customers are responsible for ensuring they have the authority, notices and consents required to add young workers to Structivo and use workforce management features for them.

19. Automated processing and decision support

Structivo may use software rules and calculations to support features such as:

• geofence checks;
• clock-in and clock-out validation;
• roster status;
• timesheet calculations;
• overtime flags based on Customer settings;
• estimated pay summary calculations based on approved hours and configured rates;
• payroll support exports;
• plan limits;
• notification triggers;
• account security checks.

These tools support Customers and Users, but Customers remain responsible for reviewing records, checking pay settings, processing official payroll, issuing official payslips, making employment decisions and complying with workplace laws.

Structivo does not make final employment, hiring, firing, disciplinary, payroll, tax, superannuation or legal pay decisions on behalf of Customers.

20. Data accuracy

We take reasonable steps to keep personal information accurate, complete and up to date where we control that information.

However, much of the information in Structivo is entered by Customers, Admins or Workers.

Customers and Users are responsible for ensuring the information they enter is accurate, including:

• worker details;
• job site details;
• roster details;
• clock-in and clock-out records;
• correction requests;
• timesheets;
• rates and pay settings;
• estimated pay summary inputs;
• uploaded documents.

If you believe information in Structivo is incorrect, contact your company Admin or contact us at info@structivo.com.au.

21. Business transfers

If Structivo is involved in a merger, acquisition, restructure, sale of assets, financing, change of control or business transfer, personal information may be disclosed to relevant parties as part of that transaction.

Where this happens, we will take reasonable steps to protect personal information and ensure it is handled consistently with this Privacy Policy and applicable law.

22. Changes to this Privacy Policy

We may update this Privacy Policy from time to time.

If we make material changes, we will take reasonable steps to notify Customers or Users, such as by email, in-app notice or website notice.

Where appropriate, we may ask Users to review and acknowledge the updated policy.

The latest version will be available through Structivo.
